Conference Registration Information

How do I register for the Conference portion of the Symposium at Sea 2026?

This year, you will register first for the Conference and then book the cruise separately with our travel partner, University at Sea.

Important Note:  You MUST book your cruise with University at Sea to have access to the Symposium.  You cannot book directly with the cruise line. 

What is included in the Conference registration?

- Full access and admission for (1) to all conference sessions and special activities 

- CME credits 

- Conference materials; presentations and video replays (provided via email after the conference) 

- Exhibitor listing and contact. 

What is the Conference registration refund policy?

There are no refunds on the base conference registration ($595 or $795).

Are payment plans available?

- There are no payment plans for the base Conference registration fee.

How can I verify that my Conference Registration & Cruise Booking is confirmed?

- You should have received an automatic confirmation regarding your Conference registration If you don’t see this information, please check your SPAM folder.  Any questions regarding your registration please email Denise at Providersupport@bhrttrainingacademy.com.

- For your cruise, you should have received confirmation from University at Sea, any questions email sandi@continuingeducation.net. If you don’t find this confirmation in your inbox, please check your SPAM folder

What happens if I need to transfer my registration to someone else?

- For Conference registration, please reach out to Denise by email at Providersupport@bhrttrainingacademy.com

- For cruise, name changes are subject to terms and conditions of the cruise line.  Reach out to sandi@continuingeducation.net for more information.

Where will the conference sessions be held onboard?

All the conference sessions and the Exhibitor Showcase will be in the Wonder of Seas beautiful Conference Center, located on Deck 3 Fwd.

When will the Symposium start?

- The Symposium at Sea 2026 officially kicks off on Friday, March 27 (embarkation day) at 2:00 p.m. sharp with our keynote address and opening expert sessions.

- We strongly recommend completing your online check-in as soon as it becomes available and opting for express boarding to ensure you're on board, settled, and ready when we begin. You won't want to miss this incredible launch to the weekend!

When will conference sessions begin each day?

The final agenda is in development, however, you will receive a daily Conference program for daily start and end times.

How do I check in for the conference on the ship? 

Conference registration will open and begin at 11:00 a.m. in the Conference Center, Deck 3 on embarkation day.

Will there be networking events or meet-and-greet opportunities?

Yes! What is a trip at sea without networking opportunities? Your first one starts Day One at 1:30 p.m. and others will be indicated in your Daily Program.

Are keynote speeches or breakout sessions recorded for later viewing?

Yes. Information on how to obtain these sessions will be shared with you after the cruise.

Can I bring a guest to the conference sessions?

While guests are allowed to join for evening meals and activities, we request that only ticketed conference participants attend conference sessions and lunch sessions.

Will there be a Q&A opportunity with speakers and panelists?

Yes, we are coordinating optional Q & A sessions for attendees with select speakers.

Is there a dress code for conference sessions or specific events?

Conference sessions are business casual, however, we recommend that you please bring a light sweater or jacket as sometimes the indoor spaces tend to get cold. For the evenings, however - you are on vacation, dress accordingly!!  More information as we get closer to the cruise on special themes.

General Cruise Information

How do I book my cruise portion of the conference?

- We’ve partnered with University at Sea®, a trusted meeting planning and travel company that has specialized in medical conferences at sea since 1992. They organize over 100 cruise-based events each year, including more than 75 CME programs—so you’re in expert hands.

When and where is the Bioidentical Hormone Revolution Symposium at Sea 2026 scheduled?

- The cruise is scheduled from March 27th – March 30th, 2026, aboard Royal Caribbean's Wonder of the Seas.

Where does the cruise start from and where does it go?

The cruise is a round-trip from Miami, Florida.  The itinerary includes stops at Perfect Day at CocoCay and Nassau in the Bahamas.

What is the cost of the cruise?

- Cruise only pricing starts from $894.85 per person in a double occupancy room (two people in a room).  Specific pricing can be quoted by contacting University at Sea at 800-422-0711, Monday –Friday, 8:30 a.m. – 6:00 p.m. ET.  For all cruise questions, reply to this email or contact:  sandi@continuingeducation.net.

- The cruise fare does not include the Symposium at Sea 2026 conference registration fee. If you haven’t yet registered for the conference, please click here.

What is included and what is NOT included?

The cruise includes:

- 3 Nights of accommodation

- Meals in complementary dining venues (including the Main Dining Room, buffet, and other select eateries)  Note:  We will have

designated areas for the Symposium. 

- Onboard entertainment on the ship

- Coffee, tea, and juice

- The basic cruise fare does NOT include, to be purchased additionally:

- Dining at specialty restaurants (available for an additional fee)

- Alcohol, other special beverages and beverage packages

- Onshore excursions in the Bahamas

- Special Activities in the Private Destination

- Wi-Fi connection

When should I book?

The earlier you book, the better. The contract our cruise agency has with the cruise line has a limited number of staterooms across various categories. Once those rooms are booked, the current market rate at the time of booking will apply. This will likely be higher than the contracted rates.

When is the latest I can book my cruise?

While you could potentially book closer to the sailing date, it is strongly recommended to book prior to January 2, 2026. After that date, our contracted group price for this cruise will expire as the cruise line may recall unsold staterooms, and there may not be any availability left.

What is the required deposit to be paid at the time of booking?

The deposit is $100 per-person (a minimum of $200 per booking), unless you are registering after January 2, 2026, in which case the full price of the cruise will be due at the time of booking.

Is the deposit refundable?

The deposit is refundable for all of our travel partner, University at Sea, 's contracted rates up to the Final payment date (January 2, 2026), after that date penalties are accruedThe only way the deposit would not be refundable is if you were to book after January 2, 2026 or if you book a non-refundable rate outside of the allotted group space.

When is the rest of the cruise payment due?

The remainder of the payment is due no later than January 2, 2026.

What if I see a SALE price for this cruise that is lower than what I paid?

You may contact University at Sea while the sale is ongoing and we will work with the cruise operator to match that price. This only applies before final payment is due (January 2, 2026) and only as long as you are not booked with a special non-refundable fare. Note that this is a request to the cruise line and is not guaranteed in all cases.

What happens if I have to cancel?

Groups/individuals may be cancelled prior to January 2, 2026 with no penalties (unless you have booked with a special non-refundable fare).

_ Starting January 12th, 2026, you will incur a penalty of 50% of the total fare.

_ Starting January 26th, 2026, the penalty increases to 75% of the total fare.

_ Starting February 25th, 2026, you will not receive any refund except for the taxes and fees you paid.

Do I need to purchase cruise insurance?

Travel insurance is not required but is highly recommended. Insurance for American Citizens can be purchased through our travel partner, University at Sea.

What time do I need to be at the port on sailing day?

Important Timing for Embarkation Day – Friday, March 27, 2026

- The Symposium at Sea 2026 officially kicks off at 2:00 p.m. sharp on embarkation day, so it’s essential you’re on board and settled well before then.

- We strongly recommend completing your online cruise check-in as soon as it becomes available and selecting the earliest possible boarding time.

- Embarkation opens at 11:00 a.m., and Royal Caribbean uses a scheduled check-in system with 30-minute arrival windows (e.g., 11:30 a.m. – 12:00 p.m.). Be sure to arrive during your assigned window, but aim to get on as early as you can to avoid delays and be ready for the start of the conference.

Do I need a passport?

Yes, you must have a valid passport with an expiry date more than 6 months after the date of return (March 30th, 2026). Therefore, your passport must expire AFTER September 30th, 2026.

Which airport should I fly to?

The closest international airport to the cruise terminal is Miami International Airport (MIA). The next closest is Fort Lauderdale-Hollywood International Airport (FLL), which is approximately a 45-60 minute drive away. If you are traveling from a distance, you may want to arrive at least one day before the start of the cruise. Our travel partner, University at Sea, can assist you with pre-cruise hotels and transfers.

How do I get from the hotel to the Cruise Terminal/Sea Port?

If you are staying at a hotel prior to the cruise, most hotels will have transport vehicles to the cruise terminal. If the hotel does not offer transit to the cruise terminal, our travel partner, University at Sea,  can arrange transportation for you at an additional cost. You can also take a Taxi or Uber if you prefer.

Can I extend my stay there after the cruise?

Yes. Our travel partner, University at Sea, can assist with this. Post-cruise hotel and transport bookings will have to be separately booked and paid by each participant depending on his/her needs.

Will we be the only passengers aboard the ship?

No, the Wonder of the Seas can accommodate over 6,500 passengers.

What to bring on the cruise?

Pack as you would for any resort. Cruise vacations are casual by day. In the evening, the dress code can vary. Cruises usually have a "formal night" or "dress your best" night, though you can opt out of it by dining at the buffet if you wish.

What is NOT allowed to bring on the cruise?

- No personal hair dryers, clothes steamers, or irons

- No hot plates

- No extension cords

- No knives or scissors (except for personal grooming)

- No weapons

- No perishable foods

- No more than two (2) 750ml bottles of wine or champagne per cabin. No beer, liquor, or boxed wine.

What type of cabin should I book?

This depends on your needs and budget. Balcony staterooms are the most popular. Ocean View staterooms have a window but no balcony and are a good value. Inside staterooms are the most economical and have no window. For a more premium experience, our travel partner, University at Sea,  can book a variety of Suites with varying benefits and sizes.

How many people can fit in a cabin?

Most cabins in our group allotment are for two passengers. While it is sometimes possible to have three or four people in a room, it is strongly recommended to have only two people per room as that is what they are designed to accommodate.

Is there a gym on the ship?

Yes. It is open daily and offers a fully equipped fitness center with free weights, machines, treadmills, and ellipticals, as well as a sauna and steam room in the locker room.

Is there a casino on the ship?

Yes. The casino offers a variety of slot machines and gaming tables. Guests can pay with either cash or their SeaPass card.

Does the ship have Wi-Fi?

Yes, for a fee, which is typically around $21-$25 per-device, per-day.  Ask University at Sea agents for details on pricing.

Will Symposium 2026 attendees have a dedicated area in the dining room for lunch and dinner?

 Yes, there will be a dedicated area for our group in the main dining room. It is required that you book your room through our travel partner, University at Sea, to gain access to group-only areas and events.

Why can't I do the booking through Royal Caribbean directly?

Booking as a group allows us to secure amenities like conference rooms, dedicated dining space, and other group benefits. It also allows our dedicated staff to handle the registration and booking process for the entire group. The rates will always be as good or better than a rate offered directly by the cruise line for an equivalent stateroom.
